Requesting an Official Transcript

All students will receive an unofficial transcript (in Japanese, listing all registered courses), and an official transcript (in English, listing courses with passing grades) will be sent to all students' affiliated universities free of charge. To order additional official transcripts, please follow the procedure below. 

1. Filing a Request

If you would like to request an additional copy and are in Nagasaki, please visit the International Center to fill out the "Official Transcript Request" form. If you are not in the area, please send the following information to the International Center by e-mail (jasin@tc.nagasaki-gaigo.ac.jp) or fax (+81-95-840-2001):

1) Name
2) Student Number (from your time at Nagasaki University of Foreign Studies)
3) Date of Birth
4) Number of transcripts requested (specify Japanese and/or English)
5) Postal address for receiving transcripts
6) Purpose of official transcript
7) Copy of your passport

2. Cost and Delivery

Transcripts are provided at a cost of 300 yen (for transcripts in Japanese) or 600 yen (for English-translated transcripts).

Transcripts are sent overseas by EMS express mail. The cost of postage is 1,200 yen (to the US) or 1,500 yen (to France) for packages up to 300 grams. Domestic transcripts are sent by registered mail.

If you make your request before before semester transcripts have been prepared for your home university (Fall 2010: third week of February), your requested additional copies may be included in the same package with no shipping cost.

3. Payment

If you would like to request a transcript while in Nagasaki, the International Center will accept payment in person and send the transcript as soon as current semester grades are available (September for Spring terms, March for Fall terms).

If you cannot pay for transcripts in person, an International Reply Coupon may be used at a cost of 130 yen. Please note that change cannot be provided.

4. Timetable

Transcripts are typically sent three days (for transcripts in Japanese) or one week (for English-translated transcripts) after receiving payment. The duration between the International Center receiving payment and the requested address receiving a transcript by international mail is typically about two weeks.

If a rush delivery is required, please notify the International Center as soon as you have submitted payment by International Reply Coupon.
